After ~30 days from the show (by date) or when you use Archive on a card in Show ended. Events stay SSEvent rows and remain in List & Calendar.
Assign final date to move to Step 3
This event has no final date. Choose one of the requested dates below; dates already taken by another approved & public event are marked. Then select a time slot. Complete any missing items below so the event can go to Step 3 — Public (same rules as Booking Step 2 + staff in the booking detail view).
Final date already set:
Requirements for Step 3 — Public (admin sign-off)
Use the booking detail page for full staff workflow; this sets assignment for go-live.
Admin action items — after go-live (Booking Step 3)
Monitor ticket sales and staff as the show date approaches.
Before moving to Show ended (Step 4): confirm organizer Step 2, show timing / manual end — the Kanban move dialog includes overrides.
Use Booking Step 3 / 4 in the detail view for attendance, revenue, and payouts.
Approve event (move to Step 2)
Complete the admin review in Booking Step 1 before moving the card from New submission to Approved. You can fill fields here or in the booking disclosure, then save from this dialog.
Move to Show ended (Booking Step 4)
Event:
Requirements to leave Step 3 — Public
Fix blockers from here (optional overrides)
Admin action items — Booking Step 4 (complete here when possible, or use links)
Record final attendance and ticket / livestream / guest counts.
Confirm revenue split, processing fees, and payout totals against the deal.
Verify W-9 / payee and any tax / 1099 flags.
Note any post-show follow-ups or red flags for the team.
Set both — used for the deadline and for “before due” alarms.
Optional. You can attach this TODO to one grant. Clicking this TODO on the calendar will open that grant’s details. Set a reminder below if needed.
Each filled channel button is ON and will fire at the scheduled time; outline-only is OFF. Email = SendGrid to admins; Push = devices + web push; In-app / browser alarm = local alert (browser tab while open; loud in-app alarm on iPhone/Mac). “Before” presets use due date or grant deadline when linked. New TODOs start with one alarm row; all three channels default to ON.
In Back4App, schedule the Cloud Job processTodoAlarms (e.g. every 5–15 minutes). Deploy latest cloud code so late runs still deliver within a 7-day catch-up window.
When linked to a grant, “before” is the grant application deadline; otherwise the TODO due date.
Add on this date
Choose what to create for (Eastern calendar date).
Use Date series for festivals, weekly or monthly runs, or any multi-date project—then add each performance as its own event and link it to this series.
Backfill past shows (admin, temporary). What this does: each Eventbrite listing for that listing wall date becomes a website event with online ticket $ from Eventbrite when their API has it (Eastern calendar, on or after 2026-01-01; defaults to the day you clicked). Toast (cash/register): for the same building day, bar/cafe and mapped ticket buckets can sync onto the event after import when the server is configured—no extra UI here; use Preview then Import this day as you already do. Later: new sales move to Stripe on this site; remove this block when backfill is done. Full Eventbrite tools
